General Description
The Instructor Coordination Assistant is responsible for responding to instructor substitution requests and communicating with instructors and students via email and/or Slack messages. When the assigned instructor is unavailable, the Assistant will attempt to identify another instructor to host an online meeting and may be required to enter an Adobe Connect classroom during an online meeting to communicate with students. As a part of the Instructor Coordination Team, the Assistant will also collect data and complete related tasks for the Instructor Coordination Manager.  There will be additional duties assigned between semesters, which includes assisting in developing schedules for upcoming semesters.  

 

This is a part-time, hourly (up to 29 hours per week) position. There are two shifts available.  The Instructor Coordination Assistant will need to select two (2) evenings shifts (Monday through Friday from 5:00 p.m. to 11:30 p.m. ET) and one (1) weekend day shift (Saturday or Sunday from 8:00 a.m. to 2:00 p.m. ET) for a total of three (3) days per week.  Although the Instructor Coordination Assistant is responsible for working during the specific hours assigned (flex time is not available for this position), a schedule that promotes a work-life balance will be coordinated. This position will not require work during holidays.
 

Minimum Qualifications
•    Bachelor’s degree or equivalent practical experience in administrative support 
•    3+ years experience working in an office environment
•    Excellent written and verbal communication skills
•    Excellent interpersonal skills
•    Solid organizational skills, including attention to detail and multitasking skills
•    Proficient in all MS Office programs, Google Drive, and Dropbox
•    Solid ability to quickly learn other required software platforms
•    Familiar with eLearning platforms such as Canvas, Adobe Connect, etc.

Major Duties and Responsibilities
Sub Coordination 
•    Regularly check assigned email accounts and Slack channels
•    Respond to instructor requests for subs via email, phone call, text, or Slack
•    Identify a sub to teach when an instructor is unable to host their assigned meeting
•    Cancel meetings when a sub cannot be identified
•    Support instructors who are unable to host their meetings at the “last minute”
•    Communicate with students synchronously in the Adobe classroom
•    Maintain the list of Adobe Connect rooms in Sub Sheet

Data Collection 
•    Maintain and update scheduling sheets
•    Assist in updating weekly projections documents
•    Complete weekly teaching and recording checks 
•    Conduct reviews of asynchronous recordings
•    Access Canvas and verify attendance points have been input
